How to add product pictures to proforma invoice PDF

Could you please advise how to add product images/pictures to a proforma invoice, so that when the proforma invoice is printed, it includes both product details and their corresponding images 

Purpose: For clearly identifying products and ensuring that customers can easily verify the items listed on the proforma invoice.

Product images can be added to a Proforma Invoice so that the printed document includes both product details and their corresponding images. This helps customers clearly identify and verify the products being quoted.

Step 1: Upload Images for Products

1. Go to Inventory → Manage → Products.

2. Search for and select the required product.

3. Open the product details page.

4. Upload product images using any of the following methods:

   • Upload button

   • Drag and drop

   • Copy and paste

5. If multiple images are uploaded, arrange them in the desired order of priority.

   • Drag-and-drop reordering is supported.

   • The first image will normally be treated as the primary image.

Repeat the process for all products that need to display images on the Proforma Invoice.

Step 2: Modify the Proforma Invoice PDF Template

1. Go to Administration → PDF Templates.

2. Search for and select the required Proforma Invoice template.

   Alternatively, you can open any Proforma Invoice and click the Template link directly from the document to access the template being used.

3. Click the Edit button.

4. On the template design page, click the Table button.

5. In the table column management screen, click Edit Description.

6. In the popup window:

   • Select the required image size.

   • Insert the image tags:

     • <IMAGE1>
     • <IMAGE2>

7. Place the image tags at the desired position within the description layout.

8. Save the changes.

The description section may be configured as:

<IMAGE1>

depending on how much space is available and how many images you want to display.

Optional: Include Product Specifications as an Appendix

In addition to displaying images within the line item description, Tuhund can also generate a Product Specifications Appendix as part of the document.

The appendix can include:

• Product specifications
• Technical details
• Product attributes
• Product images

This is particularly useful when dealing with technical products, machinery, spare parts or products that require detailed specifications for customer review and approval.

Result

Once configured:

• Product images will automatically appear on the Proforma Invoice.

• Printed and PDF versions will include both product information and images.

• Customers can more easily identify and verify the quoted products, reducing ambiguity and improving communication.

Excluding Images or Specifications for Individual Documents

Even after the template has been configured to include images and/or specification appendices, they can still be excluded on a case-by-case basis.

1. Open the required Proforma Invoice.
2. Select Remake PDF.
3. Choose the required PDF generation options.
4. Exclude images, specification appendices or other optional sections as needed.
5. Generate the PDF.

This allows organisations to maintain a standard template while retaining the flexibility to produce simplified documents whenever required.

Note: The same approach can also be used for other document types that support PDF templates, such as quotations, sales orders, purchase orders and similar transactional documents.
